Zen AI Labs, LLC, a limited liability company organized under the laws of the State of Florida, United States, operates ZenCoach. Our business address is 7901 4th St N, Ste 300, St. Petersburg, FL 33702, United States. Contact our privacy team at privacy@zen-coach.ai or our support team at hello@zen-coach.ai.
This policy explains how we handle personal information when you use our consumer app, its coaching, assessment, voice, action-plan and report features, the in-app legal notices, and related support. We are the controller, or equivalent responsible organization, for these activities. We determine why and how this information is used. You do not become a business data controller simply by using ZenCoach for yourself.
Separate notices apply to employment applications, business services or other activities if we introduce them. Apple, other sign-in providers and services you choose to share information with have their own policies for their independent activities.
This is a privacy notice, not a request to waive your rights. Accepting our Terms of Use is separate from giving permission for optional processing or processing that requires specific consent. Where required, we ask for that consent before the activity begins.
We collect information you provide to create and maintain an account, such as email address, name or nickname, and, where the sign-up flow requests them, last name and phone number. We also process an account identifier, sign-in method, authentication records, language, region, eligibility confirmation, preferences and consent choices. Password-based authentication is handled through our authentication provider. Do not send passwords or verification codes in a coaching conversation or support message.
If you use Apple or another available sign-in service, we receive the account information that service makes available, such as an identifier, email address and name. An email may be a relay address. We do not receive your password for that third-party account.
We collect the answers you choose or write, including priorities, confidence, thinking patterns, strengths, support preferences, values, beliefs and the topics you want to explore. We also process messages, session titles and dates, AI replies, summaries, saved contextual facts, action plans, progress feedback, ratings and reports you generate.
We may derive tentative themes or suggestions from this material to personalize coaching. Such inferences are personal information when connected to you; they are not established facts or clinical diagnoses. A name removed from a transcript does not necessarily make the transcript anonymous.
Sensitive information may be stated directly or inferred. Depending on what you share, it can include physical or mental health, distress, religious or philosophical beliefs, sexual life or orientation, ethnicity, political views, substance use, or information about difficult experiences. We do not ask for every category, but free-text and voice conversations can contain them. Share only what is relevant, and avoid identifying other people when a general description will do. Do not upload another person's medical or confidential records.
When you start a voice feature, your microphone audio is transmitted to our speech provider for transcription. In spoken coaching, transcribed turns are used to obtain a coaching reply, and reply text is transmitted for synthetic speech generation. A voice that sounds human is still AI-generated.
Dictation also transmits audio for transcription while you dictate, even if the resulting text remains a draft and you later decide not to send it as a chat message. Turning off the microphone stops future capture; it does not undo processing already performed.
We do not maintain a library of your raw microphone recordings as part of your ZenCoach account. Audio is buffered to operate the feature. Transcripts and the resulting conversations may be retained as coaching content. Providers may retain data for their own disclosed service-operation, safety or legal requirements, as described in our provider schedule. Microphone permission is not permission for advertising, research, model training or voice cloning. We do not create a voiceprint to identify you or clone your voice.
We process device and app information, app version, language, operating system, network information such as IP address, sign-in and security events, feature-use events, session counts, request identifiers, error information, and model-usage quantities used to operate and protect the service. Some of this information remains associated with an account and is not anonymous.
Support diagnostics may be stored on your device. If you choose to share a diagnostic export, the recipient receives that file. Avoid attaching screenshots or logs containing unnecessary sensitive details.
For an in-app subscription, Apple processes payment. We process purchase, entitlement, transaction and subscription-status information needed to provide access, restore purchases and resolve problems. We do not receive your full payment-card number from an Apple in-app purchase.
We collect messages and contact information you send to support, privacy requests, complaints and associated records. If you separately join research or agree to receive promotional communications, we collect the information described in that invitation.
We use account and authentication information to provide access, secure your account, remember preferences and administer subscriptions. We use coaching content and relevant context to generate responses, build plans with you, maintain continuity and prepare reports you request. Processing relevant sensitive content requires the permission or other lawful condition described below.
We use limited technical information to diagnose failures, prevent abuse, enforce reasonable service limits, measure reliability and understand feature use. Routine operational analytics do not require a copy of your full conversation. We do not use a person's distress or beliefs to set an individualized subscription price or target an advertisement.
We respond to support and privacy requests, send essential account and service notices, and meet legal obligations. We may preserve a limited record when necessary to investigate a security incident, resolve a specific dispute or establish, exercise or defend a legal claim. These purposes do not authorize indefinite retention of every conversation.
If we send promotional messages, we do so only with any permission required by applicable law. You can unsubscribe using the message's instructions or contact us. A service notice is not an opportunity to bypass your marketing choice.
Your assessment is a dated starting point. It does not fix your identity, personality or needs. We use it with relevant session context, your confirmed preferences and saved plans to make coaching more useful.
Your current correction or boundary takes priority over an earlier assessment or older saved context. Stable preferences, including language and the scope of religious discussion, remain applicable until you change or delete them. A preference not to include spirituality does not expire because time has passed. Permission to discuss your own belief does not imply permission to introduce other traditions.
We may invite you to review priorities after five completed Zen sessions. This is a relevance check, not an expiry of your legal consent, a requirement to repeat the assessment or proof that you have improved. A request for a different approach today does not automatically authorize a permanent change to your saved preferences.
You may request access to, correction of or deletion of assessment information and saved personal context through the available controls or our privacy contact. Removing an assessment does not automatically remove historical conversations or reports in which you independently provided the same information. Tell us if you also want those records deleted. We do not use summaries to recreate deleted assessment answers for future personalization.
AI may misinterpret information or fail to recall it. Tell us when a suggestion or remembered detail is wrong. A conversational instruction such as “forget that” is not a reliable substitute for a confirmed data-deletion request.
Where consent is required, we obtain a separate affirmative choice for the collection and use of sensitive information to provide the personalization you request. We explain the information, purposes and relevant provider disclosures at the time. We obtain separate permission for sharing where the law requires it and no requested-service or processor exception applies.
You may withdraw consent through the available privacy controls or by contacting privacy@zen-coach.ai. Withdrawal stops future processing that depends on that consent, subject to applicable implementation deadlines. It does not make earlier lawful processing unlawful. We explain any effect on the affected feature and any information we must retain on another lawful ground. We do not penalize you for exercising a privacy right, and we do not condition unrelated features on unnecessary sensitive information.
Your beliefs, including choosing no religion, are not themselves a consent signal. Device permissions, subscription payment and agreement to our Terms do not replace sensitive-data consent. Local law may limit processing even when someone is willing to consent.
Optional transcript quality review is disabled in this private test. If introduced later, selected completed-session material would require its own appropriate notice and separate optional permission before use. Declining that permission would not reduce paid coaching access.
Handling your support request, investigating a specific security incident and satisfying legal requirements are separate limited purposes, not permission for routine transcript review. Research participation, publication of an identifiable quotation and marketing testimonials require separate appropriate notice and permission. We do not treat a research-contact opt-in as permission to inspect your chat history.
After five completed Zen sessions, you can request a Personalized Zen Growth Report using relevant assessment information and completed-session evidence. The report distinguishes self-reported information from tentative AI interpretation, but it may still contain errors or sensitive details. It is a reflection aid, not a validated psychological assessment, diagnosis or treatment record.
We store a generated report in your account, and a copy may be created on your device for export. Review it before sharing. We do not automatically send it to a therapist, employer, insurer, coach, family member or religious advisor. If you use a device share feature, you choose the recipient and channel, and their handling of the copy is outside our direct control. Deleting your account cannot recall copies that you or recipients have saved elsewhere.

We do not give advertisers or data brokers your coaching content. We have no practice of allowing third parties to track consumer health information across unrelated websites or services through ZenCoach.
OpenAI provides AI responses and the voice features described above. Supabase provides backend database, authentication and server-side functions. Apple handles App Store distribution, in-app purchases and Apple sign-in when you use them. Google provides Google sign-in when you choose that option.
Microsoft provides our business email and productivity tools, including Excel and PowerPoint. Information handled through those tools can include support or privacy correspondence and business documents; this does not mean our coaching database is automatically shared with Microsoft. GoDaddy provides domain registration and DNS for zen-coach.ai; that role does not give it general access to coaching conversations. OpenAI Sites hosts our support, privacy and terms website. These providers may have different roles for service processing and their independent account, payment, security or legal activities.
The supplier roles above form part of this notice. Contact privacy@zen-coach.ai for further information about recipients relevant to your request. Listing a supplier does not mean that every supplier receives coaching content. Our founder is the sole employee and the only person with administrative access on our side; service providers separately process information needed to deliver their services.
Zen AI Labs LLC is registered in Florida and operates from the United States. This private test is limited to invited adults in the United States. The testing database is hosted in Ohio. That location does not mean every service component, log or provider support activity takes place there.
Our AI provider project uses a Global configuration, not a US-only residency commitment. Providers may process information in the United States and other countries where their infrastructure and authorized operations are located, subject to applicable law. We do not promise that all processing stays in the United States. Contact privacy@zen-coach.ai for information about processing relevant to your account. This notice does not waive protections that apply to that processing.
We retain information for the requested service and necessary legal, security and support purposes. Retention depends on the type of record, whether your account remains active, your deletion or withdrawal choices, the need to resolve a particular request or dispute, and applicable law. This private test does not use a promised automatic 24-month inactive-account deletion schedule.

In-app deletion removes covered account data from our active application systems. We handle authenticated requests and required provider notifications within applicable legal deadlines. Limited provider safety records or restricted backup copies may remain after active deletion where law permits. We do not promise instant erasure from every provider system or a universal backup expiry period. Any retention or delay must comply with applicable law; where a backup is restored, covered deletions must be reapplied before the restored information is used for ordinary service. We do not restore deleted information for ordinary personalization. The Consumer Health Data Privacy Notice explains applicable health-data deletion requirements.
If particular information must be retained under a lawful exception, we limit its use to that purpose and explain the exception where legally permitted. These limitations do not remove our responsibility for processors acting on our behalf.
You can request account deletion through the account controls or privacy@zen-coach.ai. Signing out, uninstalling the app and canceling a subscription are different actions. Deleting your account does not by itself cancel an Apple subscription. Cancel recurring billing separately through Apple subscription settings.
Local copies, operating-system backups and files you export may remain under your or a recipient's control. We cannot delete a copy on another service merely by deleting the original ZenCoach account. Our responsibilities for our own processors are not removed by this limitation.
We use technical and organizational safeguards appropriate to the sensitivity of the information, including authenticated access, account-level access restrictions, protected network connections and device storage protections. No system is completely secure. This statement does not exclude our legal responsibilities or your remedies.
Information needed to restore your experience may be stored on your device. Device security and backups affect those copies. Protect your device credentials and use care when sharing a device or exporting a report. Lock-screen notifications may reveal that you use ZenCoach even if they do not contain a conversation.
If Face ID App Lock is available and you enable it, authentication is performed through the operating system. ZenCoach does not receive your facial template or device passcode. App Lock is an access-control feature; it does not make cloud coaching end-to-end encrypted or control files you have shared elsewhere. You can turn it off in its settings.
The app uses device storage and authentication mechanisms to maintain sessions, preferences and service state. This edition covers the private-test app and related support, not a claim that every external website or authentication page is cookie-free. Apple and Google sign-in and externally hosted pages may use their own necessary storage and service technologies.
We do not use coaching information for sale, targeted advertising or cross-context behavioral advertising. If we introduce a new optional tracking activity, we will give the required notice and obtain any required permission before it begins. Legally required opt-out signals apply to the activities they cover; the absence of an advertising feature is not a waiver of your rights.
Depending on applicable law, you may request confirmation of processing, access, a portable copy, correction, deletion, restriction, information about recipients and transfers, or review of a qualifying automated decision. You may object to certain processing, withdraw consent, and opt out of activities such as sale, targeted advertising or qualifying profiling where relevant. Rights and lawful exceptions vary; the regional information below provides additional detail.
Use the available account controls or contact privacy@zen-coach.ai with the request and the country or state whose rights you want to exercise. We use proportionate verification and do not request government identification by default. An authorized agent may act for you where permitted, with evidence of authority and any necessary identity verification. Tell us if you cannot access the account.
We respond within the applicable statutory deadline and explain any permitted extension, refusal or exception. Requests are ordinarily free; we charge a fee or refuse a request only where law permits. You will not receive unlawful discriminatory treatment for exercising a right. If we deny a request, you can ask for reconsideration at the same address, marking it “Privacy appeal.” We give the required appeal response and regulator information. You may complain directly to an appropriate regulator without first waiving or exhausting other rights.
Relevant categories include identifiers and contact information; account and purchase records; internet or app activity and device information; audio and transcript content; sensitive information and inferences described in section 3. We collect these from you, your device, your chosen sign-in and purchase providers, and information generated through your use. The purposes, recipient categories and retention criteria are in this policy.
We do not sell these categories or share them for cross-context behavioral advertising, including information about people under 16. ZenCoach is restricted to adults. Where a US state law applies to us, available rights may include access, correction, deletion, portability and opt-outs for sale, targeted advertising or qualifying profiling, with authorized-agent and appeal rights where provided. California rights include knowing the categories and specific pieces of information and exercising applicable limits on sensitive-information use. We use sensitive information only for the requested and separately authorized purposes described here.
Our separate Consumer Health Data Privacy Notice gives further details about health-related information and applicable health-data rights, including rights that can apply even when a general state privacy law's business thresholds are not met. Use the same privacy contact for those requests.
ZenCoach is exclusively for adults. You must be at least 18 years old and have reached the legal age of majority in your country and state or province of residence, if that age is higher. Parental or guardian permission does not make an otherwise ineligible person eligible. Companion chatbots may not be suitable for minors. We do not knowingly permit people below this eligibility threshold to use the service. If we learn that an account belongs to an ineligible person, we restrict access and delete their information, subject to narrowly necessary safety and legal obligations. Contact privacy@zen-coach.ai if you believe an underage person has provided information.
We update this policy when necessary and identify the effective date. For material changes, we provide prominent notice in the app, by email or another appropriate method before the change takes effect, unless urgent legal or security reasons require a different timetable. We obtain new consent before a new activity where required. Continued use is not a substitute for that consent or permission to use old sensitive content for an incompatible purpose.

These Terms govern your personal use of ZenCoach, including the app, coaching conversations, assessment, voice features, Zen Action Plans, reports and related service website. The provider is Zen AI Labs, LLC, a limited liability company organized under the laws of the State of Florida, United States, with its business address at 7901 4th St N, Ste 300, St. Petersburg, FL 33702, United States. “ZenCoach,” “we,” “us” and “our” refer to that company. By selecting the agreement control presented with these Terms, you enter an agreement with Zen AI Labs, LLC. ZenCoach is exclusively for adults. You must be at least 18 years old and have reached the legal age of majority in your country and state or province of residence, if that age is higher. Parental or guardian permission does not make an otherwise ineligible person eligible. You must also be legally able to enter this agreement. These restrictions apply before assessment or coaching begins, whether or not you subscribe. The service is for your own personal use, not for providing regulated services to others. If you do not agree, do not create an account or use the service.
Our Privacy Policy explains personal-information handling. It is not a blanket consent or waiver. We obtain separate permissions when required, including for sensitive personalization and optional activities. Purchase-specific terms shown before payment and mandatory local consumer protections also apply.
ZenCoach is an AI service for personal reflection, self-directed growth and educational exploration. It draws on psychology-informed ideas, philosophy and religious or spiritual perspectives within the scope you choose. Conversations may help you clarify a question, explore a perspective or build a personalized Zen Action Plan together.
The coaches, characters and voices in the app are AI presentations, not individual human professionals. Changing a character or voice changes the presentation, not the professional status of the service. ZenOS refers to our service's orchestration and personalization approach; it is not a professional qualification, clinical certification or promise that we created the underlying AI models.
We aim to make sessions focused and useful. A suggested 15-minute session or daily practice is a format, not a requirement, guarantee of availability or assurance of a particular result. You may stop a conversation or decline an action at any time. No feature should be understood as requiring exclusive reliance on ZenCoach or discouraging relationships with other people.
Features, languages and subscription entitlements are described in the app. Some may depend on your region, device, permissions or subscription. A beta feature may be incomplete and clearly identified as such; beta status does not remove your statutory rights or our privacy responsibilities.
ZenCoach is not a licensed therapist, psychologist, physician, clergy member or other regulated professional. It does not provide clinical assessment, diagnosis, treatment, psychotherapy, medication management, legal advice or emergency response. No healthcare, therapist–patient, clergy–penitent, attorney–client or other professional relationship is created by using it.
The service is a complement to, not a replacement for, appropriate professional care and human support. Do not start, stop or change prescribed treatment based on an AI response. Take medical, mental-health, legal and other high-stakes decisions to a qualified professional. Do not use a ZenCoach report to diagnose yourself or another person.
If you are in immediate danger or may harm yourself or someone else, contact local emergency services now. In the United States, call or text 988 for suicide and crisis support. Elsewhere, use a local crisis service; a directory is available at Find A Helpline.
ZenCoach is not continuously monitored by a person. We do not promise to detect an emergency, locate you, contact emergency services or alert someone on your behalf. Automated safety messages and resource referrals may be incomplete or fail. Do not wait for an app response before seeking urgent help.
These limits describe the service; they do not waive any duty we have under applicable law, excuse unlawful conduct or restrict rights that cannot be excluded.
AI can generate inaccurate, incomplete, biased, unsuitable or offensive responses, even when it sounds confident. It can misunderstand what you said, mistranscribe speech, misattribute a quotation, forget a detail, or infer a pattern that is not true. Outputs are not verified simply because they are personalized, stated emphatically or presented in a polished report.
Assess whether a suggestion fits your circumstances. You can reject it, ask for another approach, correct the coach or report a concern. Use particular care with suggestions involving food or fasting, physical activity, sleep, money, family conflict, intimate relationships or religious observance. Do not follow an action that creates a health or safety risk, conflicts with professional care, or requires you to surrender judgment to the AI.
You remain free to make your own choices. This does not make you responsible for our negligence or other conduct for which the law makes us responsible. We make no guarantee of a breakthrough, lower stress, improved mental health, a changed relationship, spiritual development or any other outcome. Research about a technique or tradition is not a clinical study of ZenCoach and does not establish how the service will affect you.
Religious and philosophical content is offered for reflection and learning within your expressed boundaries. ZenCoach is not a religious authority, cannot provide divine revelation or authoritative rulings, and does not represent a faith institution. Traditions contain different interpretations; generated explanations may be mistaken or culturally incomplete.
Your faith identity does not authorize unrestricted use of other beliefs. You may request your own tradition, additional perspectives for learning, an open exploration, or no spiritual content where the feature offers those choices. A request for one conversation does not necessarily change your future saved preferences. We do not treat religious belief, nonbelief or a change in belief as a diagnosis or a measure of personal worth.
Consult a trusted qualified religious advisor for authoritative guidance if you want it. No statement made by an AI character overrides your autonomy, safety, civil rights or professional care.
The assessment records your answers at a point in time to help personalize the service. It is not a validated diagnostic test or a permanent personality classification. Later corrections and current boundaries take priority over older responses in our personalization approach, although AI may still make mistakes.
After five completed Zen sessions, you may request a Personalized Zen Growth Report using available assessment and completed-session material. Five sessions is an access threshold, not a scientific claim that the information is sufficient for a reliable clinical conclusion. A report may need to state that evidence is limited. Merely waiting four weeks does not satisfy the session threshold.
Review a report's wording, quotations and personal details before using or sharing it. Reports are AI-generated reflection aids, not medical records prepared by a clinician, psychological evaluations, treatment recommendations, certificates or evidence of fitness for work, insurance, legal proceedings or benefits. A qualified professional remains responsible for their own judgment if you share a report with them.
Sharing is your choice. We do not automatically send reports to professionals, advisers or other third parties. Sharing does not by itself make your ZenCoach conversations legally privileged or place the consumer service under HIPAA. Recipients may keep or disclose their copy under their own obligations; deleting the original does not recall it.
Provide accurate information needed to operate your account and maintain an email address through which you can receive account notices. A nickname is acceptable where offered. Do not impersonate another person, share access in a way that exposes someone else's information, or evade eligibility restrictions.
Protect your credentials and notify hello@zen-coach.ai if you suspect unauthorized use. You are not automatically responsible for every event involving your account regardless of fault. We may require reasonable verification for sensitive account changes, purchases or deletion.
Some features require internet access or device permissions. Voice is optional. When you activate it, microphone audio is processed for transcription; dictation is transmitted before you decide whether to send its text. The Privacy Policy explains this handling. Do not record people without appropriate permission or use the feature to covertly transcribe a third-party conversation.
If App Lock is offered, it uses device authentication. It does not protect exported files or replace device security, and it does not change how cloud processing works. We cannot provide your device passcode or bypass the operating system's authentication for you.
The purchase screen states the plan, billing period, price and currency, applicable taxes, included features, and any trial or introductory offer. That information controls your purchase. We do not promise that every customer or plan qualifies for a trial. Trial eligibility may be determined by the app store.
A subscription renews automatically for the billing period shown at purchase unless canceled before the renewal deadline shown by the store. A trial converts to the paid subscription shown at enrollment unless canceled in time. We request the necessary affirmative agreement to these recurring-payment terms before purchase. Creating an account or completing an assessment does not by itself authorize a paid subscription.
Apple processes purchases made through the Apple App Store. Your Apple account is charged in accordance with the purchase confirmation and applicable store terms. You can manage or cancel an Apple subscription through your Apple subscription settings. Use the manage-subscription route in the app where available, or consult Apple's cancellation instructions. Follow the deadline displayed by Apple; a free or discounted trial may require cancellation at least 24 hours before it ends.
Cancellation stops future renewals and ordinarily leaves access until the end of the already paid period. Trial-access rules may differ and are disclosed by the store. Deleting the app, signing out, stopping use or deleting a ZenCoach account does not automatically cancel recurring billing. Restore Purchases is available for eligible purchases associated with your store account.
Apple purchase refunds can be requested through Apple's refund process. Contact us if you need help identifying the purchase channel or exercising a right against us. Store procedures do not remove mandatory rights to refunds, cancellation, repair or other remedies under local law. We do not impose a universal “no refunds” rule.
We give notices of renewals, trial conversion, price changes and other subscription matters when required by law or store rules. Price changes apply prospectively through the required notice and consent process, not retroactively to a period already purchased. A store notice fulfills our obligation only where the actual notice and applicable law permit that result.
If we introduce direct web billing, we will identify the seller, payment provider, cancellation route and relevant purchase terms before accepting payment. These Terms do not authorize us to charge a payment method outside the purchase you approved.
You retain rights you have in the content you submit. To operate the service, you grant Zen AI Labs, LLC a limited, nonexclusive, worldwide permission to host, copy, transmit and process that content, and to allow our contracted providers to do so, only as needed to provide your requested features, protect the service, meet legal obligations and perform other separately authorized activities described in the Privacy Policy.
This permission is not a sale of your content, a general license to publish private conversations, an advertising license or permission to train general-purpose AI models. Privacy consent and withdrawal requirements remain separate. When content is deleted, this permission ends except to the limited extent necessary for lawful retention, backup completion, security or legal obligations described in the Privacy Policy. It does not allow deleted material to be restored for ordinary personalization.
As between you and us, to the extent permitted by law, we assign to you any rights we may have in AI outputs generated specifically for you. This does not transfer our app, underlying software, trademarks or third-party materials, create copyright where none exists, or promise that an output is unique or free from someone else's rights. Other users may receive similar material.
You may use and share your own plans and reports, subject to law, these Terms and the privacy of others. Keep accompanying AI and nonclinical context when sharing a report so that recipients are not misled about its origin or reliability.
If you choose to suggest a product improvement, we may use that suggestion without an obligation to compensate you. This does not permit us to publish a private conversation or use you as a testimonial. Public endorsements, case studies and identifiable quotations require separate permission.
We and our licensors retain rights in ZenCoach's software, interface, branding, proprietary instructions and other service materials, excluding your content and rights assigned under section 9. Subject to these Terms and your applicable subscription, we grant you a limited, nonexclusive, nontransferable permission to use the service for personal purposes on supported devices.
Do not copy or resell the service, extract private system instructions, defeat access controls, unlawfully reverse-engineer it, or use unauthorized automated access. These restrictions do not prohibit activities protected by nonwaivable law, lawful interoperability rights, or responsible security reporting that does not access other people's information or disrupt the service. Contact hello@zen-coach.ai to report a vulnerability.
Do not use ZenCoach to facilitate violence, self-harm, exploitation, fraud, harassment, unlawful discrimination or other unlawful conduct; expose another person's confidential information; impersonate a person or professional; infringe rights; introduce malware; attack or overload the service; bypass subscription or safety controls; or create accounts to evade a lawful restriction.
Do not present AI output as a professional diagnosis, a human professional's work, divine instruction or a guaranteed factual conclusion. Do not use the service to make employment, insurance, credit, housing, education, healthcare eligibility or other consequential decisions about someone else.
These rules do not prohibit honest reviews, complaints, reporting suspected misconduct to an authority, exercising privacy or consumer rights, or discussing lawful religious, political or personal views within the service's scope.
We take reasonable care in providing the service, but do not promise uninterrupted access, perfect memory, error-free AI, or preservation of every record indefinitely. Maintenance, network conditions, provider failures, safety controls and legal requirements can affect availability. Service limitations must be consistent with the plan disclosed at purchase and your statutory rights.
We may change or discontinue a feature for a legitimate operational, safety or legal reason. For a material reduction in a paid service, we give reasonable advance notice where practicable and offer the cancellation or refund remedy required by law. We will not use this clause to remove the essential benefit of a prepaid subscription without an appropriate remedy. Where lawful and feasible, we provide an opportunity to export your records before a planned shutdown.
You may stop using the service at any time, cancel recurring billing through the purchase channel, and request account deletion. These are separate controls.
We may restrict or suspend access when reasonably necessary because of a material violation of these Terms, an unauthorized or unlawful use, a serious security or safety risk, an unpaid entitlement, or a legal requirement. We act proportionately and provide a reason and a way to contact us for review unless doing so would be unlawful or create a material risk. Where a problem can reasonably be corrected, we allow an appropriate opportunity to do so.
If we terminate paid access for our convenience rather than your material breach, we provide the refund or equivalent remedy required by law and, where no contrary rule applies, a proportionate refund for the unused prepaid period. Any effect of a breach-related termination remains subject to mandatory consumer protections. Termination does not authorize keeping personal information indefinitely or continuing unrelated processing after consent is withdrawn.
Nothing in these Terms excludes or limits rights, warranties, guarantees or remedies that cannot lawfully be excluded or limited. This includes applicable requirements to provide services with reasonable care and skill and consumer remedies for defective or misdescribed services.
Subject to those protections, we do not warrant that AI output is accurate, complete, unique or suitable for a particular personal decision, or that using ZenCoach will achieve a particular result. We are responsible for matters for which applicable law makes us responsible. We are not responsible for a third party's independent service merely because you choose to use it, but this does not remove our responsibilities for providers processing information on our behalf.
This section applies only to the extent lawful. It does not exclude or limit liability for fraud, fraudulent misrepresentation, willful misconduct, gross negligence where it cannot lawfully be limited, death or personal injury caused by negligence where protected by law, or any nonwaivable privacy, security, product-liability or consumer obligation. It does not limit a regulator's authority, a statutory remedy that cannot be limited, or a remedy expressly preserved elsewhere in these Terms.
For consumers in the United States, and only where an enforceable limitation is permitted, our aggregate contractual liability for claims arising from the service is limited to the greater of USD 100 and the amount you paid for ZenCoach in the 12 months before the event giving rise to the claim. This limitation does not apply to an obligation or liability excluded from limitation in the preceding paragraph. Separate events are not artificially combined to reduce a mandatory remedy.
We do not apply that monetary cap to consumers outside the United States. Their liability rules and remedies are governed by applicable local law. Where permitted, we are not liable for losses that were not reasonably foreseeable when the contract was made or for business losses from use of a service supplied for personal purposes. This does not exclude foreseeable loss where the law makes us responsible or limit compensation required by a consumer guarantee.
No founder, employee or contractor becomes your personal contracting party merely because they help operate the service. This identifies the company providing the service; it is not immunity for an individual's own unlawful conduct or a waiver of a claim that the law permits against them.
This edition is for the United States-only private test. Applicable federal and state consumer, privacy, cancellation and refund protections prevail over inconsistent terms. Restricting the intended audience does not waive rights that apply under law. International availability requires a separate rollout.
Contact hello@zen-coach.ai with a service complaint or privacy@zen-coach.ai with a privacy complaint. We will investigate and respond. You may seek urgent relief, contact a regulator or exercise a statutory right without first completing an informal process with us.
Subject to mandatory local protections, the law of the State of Florida, United States, governs this agreement. A consumer may bring a claim in a court available under applicable consumer law, including a competent court in the consumer's place of residence where that right exists. We do not require worldwide exclusive proceedings in a US court.
These Terms contain no mandatory arbitration clause, class-action waiver, jury-trial waiver or shortened statutory limitation period. Any future proposal to introduce one requires separate legal review, appropriate notice and agreement where required; it will not be applied retroactively to an existing dispute by merely updating this page.
For an app obtained from Apple, any applicable Apple Standard End User License Agreement and usage rules also apply to the app license. This agreement is with Zen AI Labs, LLC, not Apple. Subject to applicable law and the relevant license terms, we are responsible for the service, its support and product-related claims; Apple is not required to provide maintenance or support for ZenCoach.
If the licensed app fails to conform to an applicable warranty, you may notify Apple and Apple may refund the app purchase price as required by its applicable terms; any additional obligations or remedies remain with the responsible party under law. Apple and its subsidiaries are third-party beneficiaries of applicable app-license provisions to the extent required by Apple's license terms. No app-store clause reduces a mandatory consumer right.
We may update these Terms for changes to the service or for legitimate legal, safety or operational reasons. We identify the new effective date and give reasonable advance notice of material changes, normally at least 30 days where practicable. Urgent legal or security changes may take effect sooner with appropriate notice.
Where an affirmative agreement is required, we obtain it before applying a material change to you. A new Terms page does not expand an old sensitive-data consent or change the terms of an already paid period retroactively. If you do not accept a material change, you may stop using the affected service and cancel, with any refund or other remedy required by law.
If a provision is invalid or unenforceable, the remaining Terms continue only to the extent lawful and workable; a court should not rewrite an unfair consumer term merely to rescue it where the law prohibits that approach. Not enforcing a provision on one occasion does not waive it permanently.
You may not transfer an account to another person without our consent, except where law permits. We may transfer this agreement as part of a lawful business succession if your mandatory rights and the applicable privacy obligations are preserved; we give notice where required.
These Terms, the purchase disclosures and any other terms expressly agreed for a feature describe the agreement for that feature. They do not exclude liability for a binding pre-contractual representation or other obligation that cannot legally be excluded. Provisions that by their nature need to continue after termination, such as accrued payment obligations, lawful intellectual-property protections and dispute rights, continue to that limited extent.

Zen AI Labs, LLC operates ZenCoach. This notice explains how we handle consumer health data under applicable laws, including the Washington My Health My Data Act and Nevada's consumer health data law. It supplements our Privacy Policy and is presented as a separate notice in the app privacy area.
Consumer health data can include information about mental wellbeing and inferences from nonmedical information. Calling the service “coaching” does not remove these protections. This notice does not claim that every category or use is governed by the same law in every location.

ZenCoach is exclusively for adults. You must be at least 18 years old and have reached the legal age of majority in your country and state or province of residence, if that age is higher. Parental or guardian permission does not make an otherwise ineligible person eligible.
We collect health-related information that you provide in assessment answers, typed or spoken conversations, reflections, support requests or feedback. This can include mood, stress, emotional or mental-health concerns, physical-health information, symptoms, treatment experiences, medication references, disability, substance use, sexual or reproductive health information, and efforts to obtain support. We do not require you to disclose all of these matters.
We also generate or maintain transcripts, AI responses, tentative themes, session summaries, saved context, plans and reports that can reveal or infer health-related information. Account or technical information can be consumer health data when it identifies your use of a health-related feature or links a person to such information. Deleting a name from a narrative does not necessarily remove that connection.
We collect and use relevant information to provide the personalized conversation, plan, continuity or report you request. We process audio to provide optional voice or dictation, as explained in the Privacy Policy. Optional transcript quality review is disabled in this private test. Any later introduction requires an appropriate separate notice and permission. Other limited uses include resolving your own support request, protecting the service and satisfying applicable legal obligations or permitted claims. We do not use health information to target advertising or determine an individualized subscription price.
We do not collect precise device location to locate you at health facilities, create a biometric identity from your face or voice, or connect to medical records merely because you discuss health. Do not upload another person's medical record. If a future integration would collect new categories, we will give the necessary notice and obtain required permission first.
Sources are you and information you provide; your device when you activate a feature; the AI systems that produce transcripts, responses and tentative inferences; and limited account, purchase and service-operation records associated with use. We do not buy health profiles from data brokers or obtain information from your therapist, insurer or religious advisor without a separately authorized process.
The categories disclosed for service processing can include the relevant health-related text, transcripts, summaries, saved context, generated plans or reports, audio needed for voice functions, and associated account or technical identifiers. We minimize each recipient's access according to its role.
Our contracted processors include Supabase for backend database and authentication, and OpenAI for AI responses, transcription, synthetic speech and separately authorized evaluation. Microsoft provides our business email and productivity tools and may process consumer health information if you include it in support or privacy correspondence handled through those services. This does not mean our coaching database is automatically shared with Microsoft. The Privacy Policy identifies our supplier roles; you may request further recipient information at privacy@zen-coach.ai. We must use the applicable processor agreements and purpose restrictions required by law. A disclosure to a processor may be excluded from the statutory definition of “sharing” only when the legal conditions for that exclusion are satisfied.
Other recipients may include a professional or other person you deliberately choose when sharing a report; appropriate recipients of a disclosure required or permitted by an applicable legal obligation; and a lawful business successor subject to the required privacy obligations. We assess whether a separate sharing consent is necessary and obtain it before the sharing unless a specific legal exception applies.
No affiliates receive consumer health data in this private test. The founder is the only employee with administrative access on our side; the service-provider processing described above remains separate. We do not disclose consumer health data to advertisers or data brokers, and we do not permit third-party collection of consumer health data across unrelated websites or services through ZenCoach for tracking or advertising.
We collect consumer health data with the affirmative permission required by law, or to the extent a specific requested-service exception permits. Where applicable, consent to sharing is separate and distinct from consent to collection. We do not treat agreement to general Terms, dismissing a message, or use of the app as sufficient health-data consent.
Consent requests identify the information, purpose, recipient categories and withdrawal method as required. Optional quality review is not a condition of paid coaching. We obtain additional consent before introducing a new category, purpose or recipient when the law requires it.
We do not sell consumer health data. We do not ask for a sale authorization as part of joining ZenCoach. We do not use geofencing around healthcare facilities to identify or track people seeking care, collect health data or send health-related notifications or advertisements.
Subject to applicable law, you may request confirmation of whether we collect, share or sell consumer health data; access to that data; withdrawal of consent; deletion; and the information about recipients that the law requires. You may also request correction under applicable privacy law or through our support process.
Washington consumers can request the list of third parties and affiliates with whom their consumer health data has been shared or sold, with the contact information required by law. We have no sales to report. The scope of Nevada rights is assessed under its separate law rather than assumed identical to Washington's.
Send a request to privacy@zen-coach.ai, including your account contact and the right you wish to exercise. Use the account-deletion control if you want to delete the entire account. We use proportionate authentication and permit an authorized agent where the applicable law provides for one.
For Washington requests, we respond without undue delay and within 45 days of receipt; authentication does not extend that deadline. For Nevada requests, the ordinary response period is no later than 45 days after authentication. Either law permits an additional 45-day response extension in specified circumstances with timely notice and reasons. Nevada separately requires deletion from active records and notice to relevant recipients within 30 days after authentication; notified recipients generally have 30 days to delete. We meet these deletion requirements and any shorter applicable deadline. We do not charge except where a specific law permits it.
If we decline a request, we explain the reason and how to appeal. Send “Consumer health data appeal” to privacy@zen-coach.ai. We respond in writing within the applicable appeal period, generally 45 days, and explain the decision. You may complain to the Washington Attorney General or the Nevada Attorney General as applicable, and retain any other legal remedies.
We retain account-linked health information for the requested features under the schedule in our Privacy Policy, with scheduled expiry for the operational analytics records described there and no optional transcript review in this private test. We do not retain all conversations indefinitely merely because they might someday be useful.
When a valid deletion request applies, we remove the covered information from active systems and give the required instructions to processors, affiliates and other recipients. Residual copies in restricted backups or provider systems are subject to applicable deletion requirements and any narrowly permitted delay or exception. We do not promise a universal 90-day backup cycle. Covered deletions must be reapplied before restored data is used for ordinary service. We do not use backup copies for ordinary coaching or recreate deleted information from summaries.
If you independently sent a report to someone, that person may retain their own copy. This does not excuse our obligations to notify or direct deletion by recipients where the law requires it. Deleting ZenCoach data is separate from canceling an Apple subscription.
We notify affected users of material changes through a prominent app notice, email or another appropriate method, and update the effective date. We obtain new permission before new processing where required; a revised notice alone does not authorize it.
